1. Purpose and Scope
This policy explains the limitations of artificial intelligence (AI) responses generated by Oncera and clarifies the responsibilities of individuals and organisations configuring the bot in their Discord servers.
This document supplements the Oncera Terms and Conditions and Privacy Policy.
2. Customer Control and Configuration Responsibility
The server administrator is solely responsible for their Discord server and for all decisions regarding how the Oncera bot is configured and utilised, including:
- Creating, updating, and verifying Knowledge Base articles, FAQs, and custom prompts.
- Configuring the bot's tone, language, channel roles, and human escalation triggers.
- Deciding which team members are granted administrator or staff permissions.
- Testing whether the bot's answers are appropriate for the server's specific audience.
- Ensuring that submitted server content complies with applicable laws, third-party intellectual property rights, and Discord's Terms of Service.
3. AI Responses Are Not Guaranteed to Be Correct
Oncera uses large language models to generate automated responses. AI outputs may occasionally be inaccurate, incomplete, outdated, or inconsistent with your intended server policies.
The bot may misinterpret a member's question or produce a plausible-sounding answer that is factually wrong. Adding accurate Knowledge Base entries improves relevance, but cannot mathematically guarantee a specific answer in every conversation.
Server owners must review important use cases before relying on automated answers, configure human escalation roles for sensitive topics, and avoid treating AI output as regulated professional advice.
4. Prohibited Content and Data Safeguards
Administrators must only provide content they have lawful authority to use. Never upload the following into the Knowledge Base:
- Passwords, authentication tokens, API keys, or Discord bot credentials.
- Payment card details, CVVs, bank credentials, or tax identification numbers.
- Confidential, proprietary, or sensitive personal data that you do not have permission to process.
5. Reporting and Handling Problematic Outputs
If you discover that the bot has generated a harmful, unlawful, or materially incorrect response in your community, you should:
- Immediately adjust or clear the relevant Knowledge Base entry or channel mapping in the dashboard.
- Report the incident to [email protected] with a redacted copy of the prompt and response.
- Temporarily restrict the bot's channel permissions if necessary while investigating.
